Who are we looking for

We are currently looking for a Professional Services Administrative Assistant to join our growing team.  

What to expect in the role

  • Update all assignments in Reliance and In Contact (projects and activities)
  • Document projects for quality assurance
  • Review projects for process compliance
  • Monitor and update assigned Help Desk calls as needed
  • Track all activities of assigned projects
  • Monitor billing of all assigned billable projects
  • Request quotes from Sales for additional services
  • Schedule meetings between EtQ and customers as needed
  • Attend project management meetings with customers as needed and as assigned
  • Facilitate scheduling and attend Sales/Services and Transfer of Knowledge meetings
  • Review upcoming tasks for assigned projects and assign work as needed
  • Report status of projects to Implementation Consultants and management
  • Research billing issues and perform problem resolution
  • Update Services Billing and PM Report on weekly basis to accurately reflect projected quarterly billing, project status, etc.
  • Register New Customers - Add new Customer Profile to CDB, generate license keys, facilitate shipment of software to new customers, and setup/distribute named caller login info for customer's area of
  • Update Named Callers Consult with team to determine if person requesting to be named caller has been trained, follow process depending on if they have or not.
  • Reset Website Login Information When customers forget login info, reset and resend login information.
  • Create Work Orders for Business Partners as needed.


What you need to succeed

  • 3+ years administrative experience
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint
  • Experience interacting with both internal and external customers
  • Excellent verbal and written communication skills
  • Strong customer service focus
  • Demonstrate drive and initiative to meet deadlines in a fast-paced, customer focused environment
  • Ability to collaborate effectively with colleagues to accomplish team goals
  • Excellent planning and organization skills
  • Ability to interact in a professional manner with all levels of the organization
